Privacy Policy

This document outlines the information collected by Inclusive Employers Hiring HUB, the conditions under which that information is stored, and the extent to which that information is retained.

Inclusive Employers Hiring HUB is compliant with the Freedom of Information and Protection of Privacy Act (FOIPPA).

Terms

  1. Inclusive Employers Hiring HUB – a proprietary web-based e-learning application with user login and tracking capabilities, created & managed by ETHOS Career Management Group Ltd., also referred to as “ETHOS”;
  2. User – an end-user of the Inclusive Employers Hiring HUB system;
  3. Service Provider – an organization supporting job seekers authorized to provide their client’s access to Inclusive Employers Hiring HUB;
  4. User account – a unique email and password combination that identifies a specific individual to the system and authorizes the use of Inclusive Employers Hiring HUB and access to information associated with the account;
  5. User role – a specific parameter applied to user accounts that authorizes specific capabilities and access within the system, including access to personal information.

Liability

Inclusive Employers Hiring HUB is designed to support inclusive hiring practices, connect job seekers to employers, and educate employers on the benefits of hiring inclusively. Inclusive Employers Hiring HUB, ETHOS Career Management Group Ltd., and Service Providers can not be held responsible for the actions, behaviours, or communications that take place between users of Inclusive Employers Hiring HUB. All relationships between job seekers and employers, staff, service providers, or other users of the system facilitated by Inclusive Employers Hiring HUB, whether implied or otherwise, are the sole responsibilities of the parties involved. Liability is required for use of Inclusive Employers Hiring HUB.

What information is collected?

Inclusive Employers Hiring HUB requires the following information in order to create a user account of any role:

  • First name;
  • Last name;
  • Valid email address;
  • A valid Access Code

Additional parameters, including username, are arbitrary. Further information may be entered into the user profile depending on the user role and may be required in some cases.

Information is collected through the use of the system and may be connected to user accounts, including:

  • Usage statistics, analytics data, and performance metrics including data collection by Google Analytics, New Relic, and additional usage collection tools utilized as a part of managing Inclusive Employers Hiring HUB. This data is stored per IP address and does not identify individual users directly.
  • Activities, page views, and actions taken (clicks, scrolls, etc.);
  • Course progression information and other course information such as quiz results, uploaded files, performance metrics, in-page actions, attention, and other data collected in completion of LMS material;
  • Private messages, including attachments and metadata;
  • Notes made by the user, including metadata;
  • Discussion forum data;
  • User profile information;
  • Form entries;
  • Attendance and attention per page;
  • Other data generated through the actions taken by the User while signed in to Inclusive Employers Hiring HUB;
  • Other data submitted by the user;

Emails will be sent to the email address associated with each user account to provide administrative functions including password resets and transactional notifications, including notifications generated by the actions of other users of Inclusive Employers Hiring HUB. Additionally, ETHOS may choose to send emails to all users of Inclusive Employers Hiring HUB to provide important updates or information related to the platform, Inclusive Employers Hiring HUB project, or account security. These emails are required for proper account functionality and platform engagement and can’t be disabled. Delete your account to prevent these emails from being sent to you.

The Inclusive Employers Hiring HUB privacy policy only applies to this instance of Inclusive Employers Hiring HUB at this domain. External tools, resources, and all other external links part of Inclusive Employers Hiring HUB are governed by the policies of those domain holders. Inclusive Employers Hiring HUB and ETHOS can not be held responsible for the content, actions, or data policies of external domains and the use of all external resources is exclusively at one’s own risk.

How is information stored and accessed?

All LMS-related data and files are located exclusively within Canadian datacentres hosted by Digital Ocean in Toronto. User and LMS data is accessible only to logged-in users of the LMS system with specific user capabilities, and to Inclusive Employers Hiring HUB development staff at ETHOS.

Users with the “Manager User” user role are employers (staff of a legally recognized business) participating in the Inclusive Employers Hiring HUB project and may be able to see all user information in the system, as outlined above. Users with the “ETHOS Administrator” user role are restricted to authorized employees of ETHOS and can see all client information in the system, as outlined above. All ETHOS staff with access to client information have completed BC Government privacy training and have signed non-disclosure agreements.

Backups of Inclusive Employers Hiring HUB are taken multiple times daily and contain all information present in Inclusive Employers Hiring HUB at the time of the backup. Each backup is encrypted before being stored off-site and retained for 1 month.

How is information retained?

Information, as outlined above, is retained indefinitely, including by ETHOS, even after the conclusion of the Inclusive Employers Hiring HUB contract. This information may be stored on ETHOS servers and retained in Inclusive Employers Hiring HUB backups.

At any time you may delete your user account from More -> Manage Account -> Delete Account. When an account is deleted the majority of data related to the user will also be deleted permanently, with the following exceptions:

 

  • Submitted form information, including user profiles;
  • Uploaded files;
  • Information visible to at least one other user, including but not limited to chat messages and discussion forum data;
  • Other information volunteered by the user or generated through the use of Inclusive Employers Hiring HUB;
  • Analytics and usage information unrelated to course completion;
  • SMTP logs and other records of automated emails sent to the email address associated with the account.
